We don't charge a retainer. We don't charge a monthly fee. We earn a commission on what we collect — and only when you get paid.
THE PROCESS
What we do after you close the job.
Step 1 — Review Your Documentation
Once a job closes in SmartMit, our team reviews the invoice, scope of work, and supporting documentation to identify any gaps, missed line items, or supplement opportunities.
Step 2 — Submit & Follow Up
We submit to the carrier and begin active follow-up. We make contact every 3–5 business days — calls and emails — until payment is confirmed or disputed.
Step 3 — Negotiate Supplements
When the carrier's initial response is below scope, we negotiate Xactimate supplements. We identify missed line items, build the supplement case, and submit for review.
Step 4 — Confirm Payment & Report
We track every open claim in SmartMit until payment is received or an agreed outcome is reached. You always have visibility into what's happening and why.
Important: What this service is — and isn't.
We represent you — the mitigation contractor — in managing your accounts receivable with insurance carriers. We follow up on invoices, negotiate Xactimate supplements, and chase payments for work you've already completed and documented. This is contractor-side AR management.
We are not public adjusters. We do not represent the insured policyholder or negotiate policy settlements. We do not adjust insurance claims. We operate strictly within contractor-side AR management, which is separate from public adjusting under Florida and federal law.
ASAP Smart Solutions LLC is an affiliated entity of Apextream Technologies LLC (operator of SmartMit). Service terms, commission rates, and scope of engagement are confirmed in a separate services agreement before work begins.

Do I need to be on a specific SmartMit plan to use this service?↓
No — Collections is available to all SmartMit subscribers (Starter, Advanced, and Pro). SmartMit Pro includes built-in Collections Tracking, which makes the service even more effective.
What documentation does my team need to provide?↓
The better your SmartMit documentation (photos, moisture logs, scope of work, signed contracts), the better your collection outcomes. Our team will review your documentation during onboarding.
How is the commission rate determined?↓
Rates depend on claim type, carrier, age of invoice, and complexity. We discuss your specific pipeline before agreeing on rates — and nothing starts without a signed agreement.
Is this available for all insurance carriers?↓
We work with all major property insurance carriers. Some carriers and claim types are more complex than others — we'll flag anything unusual during the initial review.
Does this service replace my billing staff?↓
It can supplement or replace AR-specific billing tasks. Many of our clients use us to handle the insurance carrier side while their team manages customer billing.
What if I have old, aged receivables?↓
We can review aged AR for collection potential. Recovery rates depend on documentation quality and claim age — older claims are harder to collect, but not impossible.
